The supplier invoice agent, in five steps. An email with a PDF invoice lands in the accounts inbox. The agent pulls out the supplier, invoice number, lines and total. It finds the supplier and the matching purchase order in QuickBooks Online. Totals agree. The total is above the approval limit, so a card appears in Teams. Approved. The bill is created in QuickBooks with the PDF attached, and the run appears in the Event Log. In the example, the invoice is INV-20418 from Northwind Supplies for £6,240.00; it matches purchase order PO-1187, and the Teams card asks “Approve bill for Northwind Supplies, £6,240?”

The work between the inbox and the ledger

  • OutlookQuickBooks Online

Supplier invoices arrive as PDFs in a shared inbox, and someone types each one into the accounting system.

  • StripeGmail

A card payment fails, and the follow-up depends on someone spotting it.

  • StripeHubSpot

A customer asks to change plan, and the change has to be made in billing, checked in the CRM and confirmed on the ticket.

Each is a short job, done many times a month, across systems that don't share data. Agents take the typing and the chasing; your team keeps the decisions.

How the supplier invoice agent works

  1. 1

    Picks up the invoice

watches the Outlook or Gmail mailbox you choose and opens each PDF attachment.

  2. 2

    Reads it

supplier, invoice number, date, line items, total and currency.

  3. 3

    Matches it

finds the supplier in your accounting system. In QuickBooks Online it also finds the purchase order and compares the totals.

  4. 4

    Checks your rules

unknown suppliers, totals that don't match the purchase order and amounts over your approval limit go to a person.

  5. 5

    Asks for approval

a summary in Teams shows the invoice, what it matched and anything it flagged.

  6. 6

    Creates the bill

with your account codes. In QuickBooks the PDF is attached to the bill; in Xero a history note records where it came from.

Every bill waits

Once you set an amount

Below it: created straight awayAbove it: waits for a person

Every bill waits for approval when you start. Once you trust the agent, set an amount: bills below it are created straight away, bills above it still wait for a person.

Failed payments, followed up straight away

  1. StripeChargebee01

Stripe or Chargebee reports a failed payment.

  2. HubSpotSalesforce02

The agent finds the customer and their account owner in HubSpot or Salesforce.

  3. Gmail03

It drafts a personal email in Gmail, following your dunning policy and tone guide.

  4. Slack04

It tells the owner in Slack, with the amount and a link to the draft.

The agent never sends the email. A person reads it, edits it if needed and presses send.

The controls your finance team will ask about

  • Approval above an amount you set

bills over your limit always wait for a person, in Teams or Slack.

  • Pinned account codes

the agent uses the codes you set and can't change them.

  • Allowed values

limit what it may choose, such as the price IDs a plan change can use.

  • Only the actions you add

the invoice agent can create bills; it can't make payments, because that action isn't in its toolbox.

  • A record for audit

every run is kept in the Event Logs, with the invoice it read, what it matched, who approved it and what it created.
